Buying custom CNC machined parts is not the same as choosing a finished catalog product. The drawing is the product definition, and the quotation is only reliable when the supplier has understood that definition. A low unit price can change quickly once material certificates, tight tolerances, secondary finishing, inspection reports and export packing are added.

This guide explains how overseas OEM buyers can organize a custom CNC machining RFQ in China, compare suppliers on the same basis and move from prototype to repeat production without losing control of the drawing.

Start with the function of the part

A drawing may contain dozens of dimensions, but they do not all carry the same risk. One bore may locate a bearing, one face may seal against another component, and one thread may connect to a purchased fitting. Other dimensions may simply define clearance or appearance.

Before requesting quotations, identify:

  • The surfaces and features that locate the part in an assembly.
  • Bores, shafts or shoulders that control fit.
  • Sealing faces and fluid passages.
  • Threads that must match another component or standard.
  • Areas where burrs, sharp edges or tool marks could cause a problem.
  • Dimensions that can use a normal machining tolerance.
This prevents a common mistake: applying an unnecessarily tight general tolerance to the whole drawing. Tight tolerances increase inspection, setup and scrap risk, even where they add no functional value.

The footage is useful evidence that the parts and batch exist. It does not prove a specific aluminum grade, dimensional tolerance or end-use industry. Those points need to come from controlled files and inspection records.

Send both 2D and 3D files when possible

A 3D model helps a supplier understand shape, tool access and stock size. A 2D drawing normally carries the information that decides acceptance: tolerances, GD&T, thread callouts, surface roughness, material, heat treatment, coating, notes and drawing revision.

The RFQ should identify which file governs if the model and drawing disagree. Use a clear part number and revision in the email subject, quotation and sample record. Sending a corrected drawing with the same filename and no revision change is an easy way to manufacture the wrong version.

Useful file formats often include STEP or another suitable solid model together with a dimensioned PDF drawing. Native CAD files may also be requested by a supplier, but buyers should control which files are released and confirm that the quotation references the current revision.

Match the supplier to the geometry

“CNC machining supplier” is a broad label. A workshop that is competitive on simple three-axis plates may not be the right source for thin-wall housings, deep bores, five-axis features or close-position relationships across several faces.

A machine list alone is not enough. Ask how the supplier intends to hold and inspect the difficult features on your actual part.

Materials and surface treatments need controlled names

Terms such as “aluminum,” “stainless” or “alloy steel” are too broad for a production order. State the required grade and governing material standard. If equivalent grades are acceptable, define who can approve the substitution and which documents are required.

Secondary processes may include anodizing, plating, passivation, black oxide, heat treatment, grinding, polishing or laser marking. The quotation should make clear whether these operations are performed in-house or by a subcontractor. For a cosmetic finish, provide an approved sample or an objective acceptance limit rather than relying on “good appearance.”

Plan the prototype as a learning stage

The first sample is not only a smaller production order. It is the point where the buyer and supplier test whether the drawing, machining route and inspection method are clear enough for repeat work.

A useful prototype review may cover:

  • Fit in the real assembly.
  • Critical dimensions and their measurement method.
  • Thread engagement with the mating part.
  • Flatness, concentricity or position where functional.
  • Burr removal and cleanliness inside holes or passages.
  • Surface finish and treatment appearance.
  • Any drawing note that the supplier found difficult to interpret.
Record every accepted deviation and drawing revision before approving the batch. Otherwise, a supplier may repeat the first sample while the buyer expects the later verbal change.

Define inspection before the supplier quotes

Inspection requirements affect price and lead time. If the buyer needs a full dimensional report, CMM results, material certificate, hardness record, surface-roughness measurement or third-party inspection, those items should be included in the RFQ.

For repeat production, the inspection plan can separate first-article checks from routine batch checks. Critical features may be measured more frequently than ordinary dimensions. Thread gauges, calibrated instruments and clear sampling rules make the acceptance process easier to repeat.

Photos and short videos are useful for confirming the batch, visible workmanship and packing status. They support the inspection record but do not replace dimensional or material evidence where those are required.

Growing equipment sectors create demand for upstream parts such as brackets, housings, shafts, bearing seats, sensor mounts, connector bodies, fixtures and thermal-management interfaces. A sourcing company does not need to build the complete robot, drone or vehicle to serve these projects.

Do not compare only the bottom-line price. Put the following items side by side:

  • Material grade, source and certificate scope.
  • Manufacturing process and number of proposed setups.
  • Included secondary treatments.
  • Prototype and production quantities.
  • Inspection scope and reports.
  • Tooling, fixture or programming charges.
  • Lead time for sample and batch.
  • Packing method and shipping terms.
  • Treatment of drawing changes and rejected parts.
When one quotation is much lower, identify what has been excluded before assuming it is more competitive.
